THE PRACTICE CIRCLE

You built a successful dental practice.

Now it’s time to learn how to lead what you’ve built.

A 12-month coaching experience for women dental practice owners who want a profitable, well led practice with a team they trust, without carrying the entire practice themselves.

You don't need another person telling you to produce more.

You know how to work hard.

You know how to produce.

You know how to learn.

You’ve taken the CE.

Bought the equipment.

Tried new systems.

Made changes to the schedule.

Hired people.

Let people go.

Maybe you’ve even hired consultants and walked away with another list of things to implement.

And some of it worked.

Some of it never quite stuck.

Because at a certain point, growing a dental practice stops being only about knowing what to do.

It becomes about your ability to lead what you’ve built.

Yourself.

Your people.

Your profit.

Your practice.

That’s the work we do inside The Practice Circle.

More production doesn’t automatically mean more profit

This is one of the biggest things we see women practice owners chasing.

Produce more.

More patients.
More procedures.
More providers.
More equipment.
More revenue.

But more production often brings more expense with it.

More team members.

More supplies.

More lab costs.

Higher operating expenses.

All while reimbursements struggle to keep pace with the rising cost of doing business.

So you can build a practice that looks incredibly successful from the outside and still wonder...

Where is all the money going?

You don’t necessarily need to produce more.

You need to understand what the practice you’ve already built is actually producing for you.

Because production and profitability are not the same thing.

And the numbers are only part of it

Maybe your numbers need attention.

But maybe it’s the team member you know you need to have a conversation with.

The office manager who has a title but was never really taught how to lead.

The associate you can’t seem to retain.

The systems everyone follows differently.

The culture that doesn’t feel like the one you intended to create.

The delegation that somehow keeps finding its way back onto your plate.

The decisions everyone still needs you to make.

Or the fact that even after building a successful practice, you’re still one of the most essential people inside of it.

You’re the owner.

The dentist.

The producer.

The decision maker.

The problem solver.

The person everyone comes to when something goes wrong.

And eventually, something has to change.

Not because you’ve failed at building the practice.

Because what got you here isn’t necessarily what will lead what you’ve built next.

Practice Circle exists for that next part

Practice Circle is a private, 12-month coaching experience for women who own dental practices and are ready to lead differently.

Not another course to complete.

Not a giant library you need to consume.

Not a consulting engagement where someone hands you another list of strategies and leaves you to figure out how to make them work.

And definitely not another room telling you that the answer to every problem is more production.

This is where we put the whole practice on the table.

The numbers.

The people.

The systems.

The culture.

The owner.

And the life the practice is ultimately supposed to support.

Then we ask:

What actually needs your leadership now?

And we start there.

Self | People | Profit | Practice

These four areas are deeply connected.

And when something isn’t working, the obvious problem isn’t always the actual problem.

Self

You are the lid on what you lead.

We’ll work on the woman behind the practice: your leadership, mindset, decision making, capacity, vision, identity, boundaries, delegation, and transition from being primarily the producer to truly becoming the owner and CEO your practice requires.

Because sometimes you already know what to do.

The harder work is becoming the woman willing and able to do it.

People

A great practice needs great people.

But hiring them is only the beginning.

We’ll work on culture, communication, accountability, delegation, retention, management, difficult conversations, leadership development, and building a team you can actually trust.

Not simply getting people to “perform.”

Learning how to know your people, care for them, lead them well, and create an environment where great people want to stay and do great work.

Profit

A busy practice and a profitable practice are not necessarily the same thing.

We’ll help you understand your numbers, cash flow, overhead, owner compensation, KPIs, Profit First, and the financial decisions affecting what your practice actually keeps.

So instead of simply asking:

“How do we produce more?”

You can start asking better questions about the business behind that production.

Practice

This is where everything comes together.

Scheduling. Hygiene. Patient retention. Associates. Capacity. Systems. Meetings. Operations. Practice management.

The actual mechanics of running a dental practice.

We look at what is happening inside your business and help you determine what needs to change so the practice can operate at the level you’re trying to lead it.

Because the practice problem and the leadership problem are often sitting at the same table

You can create the perfect accountability system...

but if you avoid difficult conversations, it won’t fix your culture.

You can increase production...

but if you don’t understand where the money is going, it won’t necessarily increase your profit.

You can hire an office manager...

but if you never develop her leadership or truly delegate authority, everything still comes back to you.

You can attend another CE...

but information sitting in a notebook doesn’t change a practice.

You can buy another piece of equipment...

but buying something and successfully integrating it into your business are two different things.

Knowing what to do matters.

So does knowing how to lead yourself and your people well enough to actually do it.

Practice Circle brings those two sides together.

Meet your coaches

BARB STACKHOUSE (on the left)

The practice. The numbers. The dental business.

Barb has spent more than 30 years in the dental world and has coached dental practices since 2004.

She is the author of Profit First for Dentists and brings a deeply practical understanding of the economics and operations behind a dental practice.

Barb sees what the numbers are telling you.

She sees where profit is disappearing.

She sees what’s happening operationally.

And she understands the nuances of dental practices that generic business advice simply doesn’t account for.

Inside Practice Circle, Barb helps you understand and strengthen the actual business you've built.

CAILYN MEYER (on the right)

The owner. The leadership. The woman behind the business.

Cailyn has a Master’s in Accountancy and began her work in bookkeeping, cash flow, and CFO level financial strategy.

But after years of working with business owners and their numbers, she realized something:

Another spreadsheet wasn’t always the answer.

Because sometimes the numbers were showing a leadership problem.

A decision making problem.

A capacity problem.

A belief the owner hadn't questioned.

Or a business being built around success at the expense of the life it was supposed to create.

Today, Cailyn's work sits at the intersection of self leadership, business, money, and life.

Inside Practice Circle, she helps you look at the woman leading the practice, because the better we lead ourselves, the better we lead our lives.

Two perspectives. One practice.

Barb sees things Cailyn won’t.

Cailyn sees things Barb won’t.

And sometimes they’ll look at the exact same problem from two completely different angles.

That’s intentional.

Because your practice doesn’t exist inside a spreadsheet.

And your leadership doesn’t exist separately from the business.

Sometimes you need to understand what the numbers are telling you.

Sometimes you need to understand why you keep avoiding what they’re telling you.

Sometimes the solution is operational.

Sometimes it’s financial.

Sometimes it’s your people.

Sometimes it’s you.

Practice Circle gives us room to find out which one it actually is.

What happens when you join The Practice Circle

Your Practice Snapshot

Before we tell you where to begin, we want to understand what you’ve actually built.

You’ll complete a Practice Snapshot across:

Self · People · Profit · Practice

We’ll look at where the practice stands today, what’s working, what feels heavy, what you’ve already tried, and what you ultimately want the business to make possible.

This isn’t an audit.

It’s how we find your starting point.

Your Private Welcome & Direction Call

You’ll begin with a 45-minute private call with both Cailyn and Barb.

Together, we’ll review your Practice Snapshot, identify what appears to be creating the greatest constraint, and help you decide what deserves your attention first.

You won't leave with 27 things to fix.

You’ll leave knowing where to begin.

One thing. Lead well. Then the next.

Then you have an entire year to do the work.

Weekly Live Coaching

Every week, you’ll have access to a 60-minute live coaching call, alternating between Barb and Cailyn.

Bring what is actually happening: The employee situation, the financial question, the decision, the number you don’t understand, the system that isn't working, the conversation you're avoiding, the implementation that fell apart, the next move you're considering, etc.

Coaching inside the community

The practice doesn't only need you when you're on a video call.

That's why coaching continues inside the private The Practice Circle community Monday through Thursday.

Bring the question while it's happening. Share the context. Tell us what you've already tried. Get perspective. Then go lead it. And come back and tell us what happened.

Question → Coaching → Action → Result → Next Decision

That's how this room is meant to be used.

Quarterly Practice Reviews

Every quarter, Cailyn and Barb come together for a 90-minute Practice Review.

This is your chance to look up. To step outside the immediate problem sitting in front of you and look at the practice as a whole.

Because when you're running a practice every day, it's easy to stay buried in what's urgent.

These conversations help you return to what actually matters.

The Practice Circle Learning Portal

You’ll also have access to The Practice Circle Learning Portal for as long as you’re an active Practice Circle member.

This is where the tools, training, templates, spreadsheets, and resources live.

Including support across:

Self: Leadership, mindset, decision making, vision, capacity, identity, and the transition into truly leading as the owner.

People: Culture, hiring, retention, communication, delegation, accountability, management, meetings, and developing leaders inside your practice.

Profit: Profit First for Dentists, financial understanding, cash flow, KPIs, profitability, owner compensation, and tools to help you know what your numbers are actually telling you.

Practice: Dental specific systems, operations, scheduling, patient flow, hygiene, associates, capacity, and practice management.

But here's the important part:

The Learning Portal is not a course.

You do not need to start at the beginning. You do not need to watch everything. You do not need another 37 hours of information sitting on your to do list.

When something needs your leadership, we can point you toward the resources that will help you work on that one thing.

Use it. Implement it. Get coached.

Then move to the next thing.

This work takes longer than a weekend

Practice Circle is intentionally a 12-month commitment.

Because meaningful change inside a dental practice doesn't happen because you made a decision on Tuesday.

You decide.

You implement.

Your team lives with it.

You see what works.

You discover what doesn't.

You adjust.

You lead again.

Financial changes need enough time to show up in the numbers.

Culture changes need enough time to become normal.

Delegation needs enough time for trust to develop.

Systems need enough time to be tested in a real practice.

And you need enough time to become a different kind of owner, not simply have a really motivated month.

Over a full year, you can look back at the practice you were running twelve months earlier and actually see what's different.

That's the kind of change we're interested in.

Imagine twelve months from now

Your practice is profitable, and you understand why.

You know your numbers instead of avoiding them.

Your team knows what they own.

You have people you trust to lead when you aren't there.

Problems don't automatically climb the ladder until they land on your desk.

You're having the conversations you used to put off.

You're making decisions faster.

You’re keeping more of what the practice produces.

You aren't automatically adding more production every time you want more profit.

Maybe you're practicing fewer days.

Maybe you're finally taking the Friday.

Maybe you make it to the school event without watching your phone the entire time.

Maybe your associate stays.

Maybe your office manager becomes an actual leader.

Maybe your team tells you they love working there.

Maybe you take a trip and discover the practice can, in fact, survive without you.

Not because you've stopped caring about the business.

Because you've learned how to lead it without carrying all of it.

That is the practice we're building toward.

This room is for you if...

You're a woman who owns a dental practice and you've already proven you can build something.

You're willing to look honestly at what is happening inside it.

You want to understand your numbers rather than simply chase more production.

You want great people to stay.

You want to become a stronger CEO, not remain the answer to every question.

You're willing to look at your own leadership when the answer isn't simply “my team needs to change.”

You want to implement what you learn instead of collecting more information.

You want a practice that is profitable and supports the life you're building outside of it.

And you're looking for a room of other women who understand the very specific experience of owning one.

This isn't your room if...

You want someone to come in and fix your team while you remain completely outside the conversation.

You want another list of tactics but aren't willing to implement them.

You believe increasing revenue is the answer to every financial problem.

You aren't willing to look at the numbers.

You want someone else to make every decision for you.

Or you're looking for a passive program you can consume privately without bringing your real practice into the room.

You do not need to have everything together to belong here.

You can be avoiding the numbers.

You can have a team problem.

You can be overwhelmed.

You can have something you've been putting off for six months.

We don't need you to arrive having solved it.

We need you to arrive willing to lead it.

Why women only?

Because there are conversations women practice owners have that change when they're in a room with other women who understand them.

The business matters here.

So does the woman running it.

We can talk about profit distributions and payroll.

And kids.

Leadership and marriage.

Associates and identity.

Culture and the fact that you want another day home.

The practice you're building and the life you're trying to build around it don't need to exist in separate conversations.

Practice ownership can be lonely.

It doesn't have to be here.

And because Practice Circle is limited to 50 women owned dental practices, this isn't intended to become another massive online community where nobody really knows anyone. We want women to know the women behind the practices.

Your Practice Circle membership includes

the investment

$997/month for 12 months

or

$10,000 paid in full

Practice Circle is a 12-month commitment.

Enrollment is by application and limited to 50 women owned dental practices.

There is no enrollment fee.

When all 50 practices are filled, applications will move to a waitlist until a seat becomes available.

Why an application?

Because the women in the room are part of the value of the room.

We aren't looking for perfect practices.

We aren't only looking for the highest producing practices.

And you don't need to arrive with every financial number memorized.

We're looking for women who are willing to participate honestly, take responsibility for what is theirs to lead, implement what they learn, and contribute to the kind of room we're building.

Your application gives us an opportunity to learn about you, your practice, what you're navigating, and what you want to change.

Then we'll determine whether The Practice Circle is the right room for you.

QUESTIONS YOU MAY HAVE

Do I need to be at a certain revenue level?

Practice Circle is designed for established women-owned dental practices navigating the realities that come with growth, profitability, team leadership, and moving more fully into the owner/CEO role.

We care less about whether you've crossed one exact revenue number and more about the practice you've built, the challenges you're navigating, and whether you're ready for this level of work.

Your application will help us determine fit.

Can I join at any time?

Yes. Practice Circle uses rolling enrollment rather than cohorts.

If your application is accepted and a seat is available, you can begin without waiting for the next launch or group start date.

Your 12 months begin when you join.

What happens when I first join?

You'll complete your Practice Snapshot and schedule your private Welcome & Direction Call with Barb and Cailyn.

We'll use that conversation to help identify what deserves your attention first and where to begin inside Practice Circle.

Is this a course?

No.

The Practice Circle Learning Portal contains substantial training and resources, but The Practice Circle is not designed around completing a curriculum.

Your practice determines where you begin.

One thing. Lead well. Then the next.

What if I can't attend every live coaching call?

You don't need to.

Live coaching and Practice Review replays are available on a rolling 90-day basis.

We don't want you spending your year trying to “catch up.” Use the coaching and resources that support what you're leading right now.

Is this financial consulting?

The Practice Circle includes significant financial education and coaching, including Profit First for Dentists, profitability, cash flow, KPIs, and financial decision making.

It does not replace your accountant, tax professional, attorney, investment professional, or other licensed advisors.

Will I get private coaching with Cailyn and Barb?

Your private Welcome & Direction Call with Barb and Cailyn is included when you begin.

Ongoing Practice Circle coaching happens through the weekly live calls and community.

Additional private support may be available separately when you want a deeper level of individual support.

What happens after 12 months?

At the end of your 12-month commitment, you can choose to recommit for another year or complete your time in The Practice Circle.

Because the problems you lead evolve as your practice evolves, some women may choose to stay in the Circle as they continue growing.

You don't need to build a smaller life to make room for a bigger practice

And you don't need to stop being ambitious.

You can want more.

More profit.

A better team.

A stronger practice.

More freedom.

More time with your family.

More opportunities.

More impact.

More of the life you've worked so hard to create.

The goal isn't to care less about your practice.

It's to build and lead it intentionally enough that your success serves the life you desire instead of your life constantly serving the next level of success.

You've already proven you can build.

Now let's make sure what you've built works for you, too.

Build a profitable, well led practice with a team you trust and a business that supports the life you actually want to live.
